Who is responsible for your data
LSG HOLDING, the publisher of HelloHai (see the legal notice), is the controller of your personal data. When HelloHai is provided by your school or employer, that organization decides how the service is used by its members, and we process data on its instructions for its own space (classes, assignments, dashboard).
The data we collect
- Account: email address, first name, age or age range, native language, languages learned, level and goals, profile photo if you add one.
- Family profiles: first name, age and preferences of each profile created by the account holder.
- Conversations: the transcript of your exchanges with the coach, and the audio of your sentences so you can listen to them again (never for children under 13).
- Results: reports, corrections, pronunciation and speaking-speed measurements, estimated levels, phrasebook, quizzes and tests.
- Coach memory: what you share in conversation and the coach remembers to personalize the next ones (interests, plans).
- Payment: plan, subscription status and history. Card details are handled by Stripe or Apple, never by us.
- Technical data: device type, error logs without personal data, website language preference.
Why we use it
- To provide the service: conversations, corrections, reports, progress tracking (performance of the contract).
- To manage your subscription and billing (performance of the contract and accounting obligations).
- To send you useful messages: summaries, practice reminders, account information (legitimate interest; you can unsubscribe at any time). Phone notifications are only sent with your consent.
- To keep the service secure, prevent abuse and fix errors (legitimate interest).
- For schools and companies: to let the organization follow its members’ activity, within the limits described below (performance of the contract with the organization).
We never sell your data, we do not do targeted advertising, and we do not use your conversations to train artificial intelligence models.
Artificial intelligence
The coach is an artificial intelligence. To answer you, correct you and produce your reports, the content of your conversations is sent to AI model and voice providers (listed below), solely to produce the requested response. Levels and scores are progress indicators: they have no legal effect and are not a certification.
Children and teenagers
- An account for a child under 15 is created by a parent (family profile) or through the child’s school.
- The voice of children under 13 is never stored: only the written transcript is kept.
- At school, teachers can read and listen to their students’ conversations to help them progress. Students and their parents are informed as soon as they join a class.
- No advertising, no commercial profiling.
Schools and companies
In HelloHai Schools, the school sees activity, assignments and results, and can access its students’ conversations. In HelloHai Business, the company sees minutes practiced, levels and test results, but never the content of its employees’ conversations.
Who we share it with
Only with the providers needed to run the service, acting on our behalf:
- Supabase: database and storage, in Ireland.
- Vercel: hosting of the website and web app.
- Google (Gemini), Anthropic (Claude), OpenAI: AI models that generate the coach’s replies and the reports.
- ElevenLabs: coach voices and transcription of your voice.
- Microsoft Azure: pronunciation assessment.
- HeyGen: the coach’s video avatar, when you use it.
- Stripe and Apple: payments and subscriptions.
- Resend: sending emails.
- Sentry: technical error monitoring, in Germany, without email addresses or conversation content.
Some of these providers are located outside the European Union, notably in the United States. These transfers are covered by the safeguards provided by the GDPR (EU-US Data Privacy Framework adequacy decision or the European Commission’s standard contractual clauses).
How long we keep it
- Account, conversations and results: as long as your account is active. They are deleted when you delete your account, or after 3 years without any sign-in.
- Conversation audio: deleted together with the conversation.
- Invoices and accounting data: 10 years, as required by law.
- Technical logs: a few weeks at most.
Cookies
The website uses no advertising cookies and no audience measurement tool. It only sets:
- hh_lang: remembers the website language (French or English), 12 months;
- the session items needed to stay signed in to the web app.
These are strictly necessary for the website to work and therefore do not require your consent. Payment pages are hosted by Stripe, which applies its own policy.
Security
Traffic is encrypted (HTTPS), access to data is limited to the people who need it, and audio is stored in a private space reachable only through temporary links.
Your rights
You can access, correct or delete your data, get a copy of it, object to certain uses or ask us to restrict them, by writing to hello@gethellohai.com. We reply within one month. If you believe your rights are not respected, you can lodge a complaint with the French data protection authority, the CNIL (cnil.fr).
Changes
We may update this policy. If there is a significant change, we will let you know by email or in the app.
